3rd Edition:

            Welcome to the 3rd edition of the MSC Newsletter.  In this edition, we are going to talk about the features of the website, how to prepare your daily mail and personal mail issues.  As usual, if you have any questions/concerns please contact me @ smcovey@ilstu.edu or 8-8383.

Personal Mail

Personal mail should not be sent to your University address for several reasons.

  1. Once you change your address with the U.S. Postal Service to your departmental address, you cannot have your mail forwarded with the U.S. Postal Service from that address again.  It becomes the responsibility of the department to forward your mail.
  2. If you have your personal mail delivered to the University, then there will be a delay in receiving your mail when the University is closed.
  3. The most important reason is that it is against the policy of the University.

Preparation of Daily Mail

The preparation of your daily mail is very important and it allows Mail Service to process your mail promptly and efficiently.  Important points about preparing your daily mail are listed below.

  1. Separate mail into the following groups:    
  2. All envelope flaps need to be down
  3. Mail must face the same direction
  4. Use a barcoded mail charge slip per group ie. foreign mail, domestic letter mail, domestic flat mail. 

Mailing Supplies

Mailing services has mailing supplies available.  Please call for availability and look for the supply order form on our website soon.  A list of the available supplies is shown below.

  1. Rubber Bands
  2. Paper Clips
  3. Envelopes (Different styles/sizes)
  4. Trays/Tubs
  5. UPS Express Envelopes/Boxes
  6. USPS Priority Mail Envelopes/Boxes

Website

Every issue of the Mail Service newsletter, I mention the website and some of the features that can be found there.  The reason that I do this is because I want to give our customers the best service that I can.  The website offers many features that some people don't know exist.

  1. UPS Features
    1. Create UPS Charge Slips - The UPS charge slip creator creates a typed charge slip that reduces entry errors on Mail Services part.  This also allows the sender to receive the tracking # of the package when it is sent to UPS and a delivery confirmation via e-mail after the package is delivered.
    2. Reprint UPS Charge Slip - Once you create a UPS Charge slip for a specific delivery address, you can go in and reprint the charge slip without typing all the information again.
    3. Track UPS packages - Search for a UPS package using a date range and other information like company, city state, etc.
  2. Account Features
    1. Account Totals - Get an up to date total for your account.
    2. Account Transactions - See all transactions charged to your account. 
  3. Cost Estimators
    1. Domestic Mail Estimator - Input the information about your piece and get an estimate of the postage for all the different methods that Mail Service offers.
    2. International Mail Estimator - Same as the domestic mail estimator, but for international mail.
